Here at IPSERV, we’re always looking for new and innovative systems to help our team work more efficiently. A recent addition to improving and streamlining our operating procedures is a time management and attendance system called ‘Timegate’ that we use as with our Cleaning team. This has replaced our traditional paper timesheets and provides us with a truly accurate and efficient way of monitoring our employees time at each client’s premises.

All of our Cleaners have access to an online employee portal, which provides them with their weekly rota that is generated through our Timegate system. Our employees can check what shifts they have been allocated and with a simple click can see a map showing the location, complete with directions from wherever they are.

On arrival at the site, they can access site-specific documentation including health and safety documents and the sites cleaning specification. This has proven to be very efficient for our Cleaning employees as they can simply and easily check the cleaning requirements to ensure they are fully informed, and we can be confident that the documents they are viewing are up to date and accurate.
How does it benefit our clients if our cleaning employees know exactly what they need to do?
Site folders and paper cleaning documents can get misplaced or accidentally picked up by someone at the site. By having virtual copies of these documents that are easily accessible to our cleaners it saves time when they’re setting up the duties, which enables more cleaning hours overall. Any immediate amendments that our client’s request can also be filtered through at the touch of a button, implementing instant changes.

Timegate also uses a GPS system that will only allow employees to access a client’s premises when they are within a small set radius. This eliminates time discrepancies when travelling to and from sites, as well as providing an accurate record of time spent on site. At the end of each month, reports are generated which provide accurate information on employee hours, and actual cleaning times at each of our client’s sites. This has proven to be a huge time saver for employee management as well as calculating payroll information.

What are the benefits of having access to accurate GPS data and Timegate reports?
A lot of time can be lost over the course of a year by employees leaving early or arriving late by the odd minute here and there. Timegate captures every minute worked on-site, allowing us to provide a full cleaning shift every day. And by being more efficient with our managerial administrative duties, we can provide more support to our Cleaners which in turn provides greater consistency in our service delivery.
